  • Overview

    The primary focus of the Administrative Assistant is to provide support for the General Manager by completing reports, managing projects, planning meetings, making appointments, & handling correspondence, usually of a confidential nature.

    Responsibilities

    • Types, compiles, processes and edits documents for various company activities including FCC children’s report and station’s quarterly issues report.
    • Provides project management, arranges meetings and maintains calendar for important station matters.
    • Serves as an “ambassador” welcoming new employees to the station handling onboarding materials for new hires and coaching them so that they are acclimated to the WREG culture.
    • Makes appointments, greets visitors, maintains confidential office files/records.
    • Develops and maintains procedures and processes for administrative operations.
    • Receives and routes mail, answers telephone and routes messages.
    • Maintains public inspection file and manages on-line public file with General Manager input.
    • Where applicable, manages office space such as conference rooms, kitchen and other shared spaces.
    • Serves as Programming Coordinator (includes Nielsen e-name preliminaries and Nielsen simulcast changes) and coordinates all areas of the station’s program schedule including network entertainment, syndicated programs, local specials, & paid. Serves as liaison with CBS affiliate programming team for clearance, preemption & other such matters.
    • Keeps an eye on station issues and advises General Manager of matters of importance.
    • Pulls, prints and mails station invoices and attaches appropriate scripts monthly.
    • Supervises the display of required communication within the station, including lawful communications and Corporate mandated notices.
    • Performs other duties as assigned (Switchboard relief, new employee id badges, complete I-9 documentation for new hires, Welcome New Employees poster, WO Log Reconciliation).
    • Represents station and General Manager at assigned meetings, both internally and externally.

    Qualifications

    Three to five years’ experience in supporting executive-level associates.  Bachelor’s degree or equivalent experience strongly pred. Experience in typing, filing, scheduling and working with computers.  Must have verbal and written communication skills. Ability to handle confidential information. Organizational skills including task prioritization with minimal supervision and ability to complete required tasks by given deadline; strong proactive approach, taking initiative where appropriate, and looking beyond the immediate task to anticipate a future need or requirement. Familiarity with virtual meeting solutions, including conferencing technology, webinar, and other tools.  Must possess a valid Tennessee Driver's License (or be able to get one).  Individual must also have knowledge of the Internet.

     

    Physical Requirements:

    Dexterity to operate typewriter, computer, and other such equipment.  Ability to maintain office files and distribute memos, etc. throughout the building, lifts up to 20 pounds, where necessary.
